1. Introduction & Context


This article lists the fields available for the Audit module and what each one is for, and shows how to choose which fields appear as columns in the Audit list view.


Who is it for? This is configured by Clew Admins in Admin Settings, under Custom Types > Audit.

What does it impact? These settings control what your team sees and can enter on Audit records, not the underlying data itself.

Note: Controlling where a field appears (New Form, Edit Form, Mass Edit Form, Show View) works the same way for Audit as for every other module, using the eye icons and Mass Edit in Core Field Settings. See Core Fields: Overview for how that works; this article focuses on what the Audit-specific fields are and what they mean.

2. Key Features & Functions

  • Field coverage: covering ownership & assignment, audit description & classification, dates & scheduling, and record & system fields, listed in full in Section 4.
  • Default list view columns: out of the box, the Audit list view shows Type, ID #, Title, Status, Register, Location, Lead Auditor, and Due Date.

3. Requirements

  • Clew Admin access, to open Admin Settings and Custom Types > Audit.
  • The Audit module must already be enabled in Clew.

4. Step-by-Step Guide


Audit: Core Field Visibility

  1. Go to Admin Settings and open Custom Types.
  2. Select Risk.
  3. Scroll to Core Field Settings. Use the search box to find a specific field if the list is long.
  4. Update fields individually using the eye icons, or select several rows and use Mass Edit. See Core Fields: Overview for how these controls work.
    By default, the Audit list view's Selected Fields include Type, ID #, Title, Status, Register, Location, Lead Auditor, and Due Date.

Ownership & Assignment

OwnersEveryone who owns the audit, where more than one person can be assigned.
Owner RoleThe role an Owner holds.
Owner RolesThe roles of everyone listed as an Owner, where more than one person can be assigned.
AuditeeThe person or team being audited.
Additional AuditeesOther people or teams also being audited, where more than one applies.
Lead AuditorThe person leading the audit.
Assignee RoleThe role the assignee holds.
Assignee RolesThe roles of everyone assigned, where more than one person can be assigned.

Audit Description & Classification

FieldWhat it's for
Audit ScopeThe scope of what the audit covers.
Type of ReportThe type of report this audit produces or is classified as.
Business ObjectivesThe organisational objective(s) that this audit relates to.
Additional divisionThe additional division(s) this audit applies to, if it spans more than one.
ParentThe parent audit this record is linked under, for example when this is a follow-up or child audit.
LockedWhether the audit record is locked from further editing.
OriginalFlags whether this is the original version of the audit, as distinct from a re-issued or duplicated one.

Dates & Scheduling

FieldWhat it's for
Due DateThe date the audit is due to be completed.
Original Due DateThe due date originally set, before any extension.
Closed atThe date and time the record was closed.

Record & System Fields

FieldWhat it's for
TypeThe record type classification, distinguishing this custom type (Audit) within its module.
ID #The unique identifier number automatically assigned to the record.
TitleThe short name or title given to the audit.
StatusThe record's current position in its workflow, for example Draft, Open, or Closed.
RegisterThe register the audit belongs to.
LocationThe physical or organisational location the audit relates to.
Created atThe date and time the record was first created.
Updated atThe date and time the record was last updated.
Created byThe user who created the record.
UUIDA unique identifier automatically generated for the record, in addition to the sequential ID #.

5. Common Issues & Troubleshooting
