1. Introduction & Context

This article lists the fields available for the Action module and what each one is for, and shows how to choose which fields appear as columns in the Action list view.


Who is it for? This is configured by Clew Admins in Admin Settings, under Custom Types > Action.

What does it impact? These settings control what your team sees and can enter on Action records, not the underlying data itself.

Note: Controlling where a field appears (New Form, Edit Form, Mass Edit Form, Show View) works the same way for Action as for every other module, using the eye icons and Mass Edit in Core Field Settings. See Core Fields: Overview for how that works; this article focuses on what the Action-specific fields are and what they mean.

2. Key Features & Functions

  • Field coverage: covering ownership & assignment, action description & classification, dates & scheduling, and record & system fields, listed in full in Section 4.
  • Default list view columns: out of the box, the Action list view shows Type, ID #, Progress, Title, Status, Register, Location, Due Date, Priority, Owner, and Linked to.

3. Requirements

  • Clew Admin access, to open Admin Settings and Custom Types > Action.
  • The Action module must already be enabled in Clew.

4. Step-by-Step Guide


Action: Core Field Visibility

  1. Go to Admin Settings and open Custom Types.
  2. Select Action.
  3. Scroll to Core Field Settings. Use the search box to find a specific field if the list is long.
  4. Update fields individually using the eye icons, or select several rows and use Mass Edit. See Core Fields: Overview for how these controls work.

    By default, the Action list view's Selected Fields include Type, ID #, Progress, Title, Status, Register, Location, Due Date, Priority, Owner, and Linked to.

Ownership & Assignment

FieldWhat it's for
OwnerThe person who owns the action.
Owner RoleThe role the Owner holds.
AssigneeThe person the action is currently assigned to.
AssigneesEveryone currently assigned to the action, where more than one person can be assigned.
Assignee RoleThe role the assignee holds.
Assignee RolesThe roles of everyone assigned, where more than one person can be assigned.
AuthoriserThe person responsible for authorising the action.
Authoriser RoleThe role the Authoriser holds.
SanctionerThe person responsible for formally sanctioning (approving) the action.
Sanctioner RoleThe role the Sanctioner holds.

Action Description & Classification

FieldWhat it's for
DetailsA written description of the action.
Action DecisionThe decision recorded against the action, for example whether it was accepted, rejected, or deferred.
Management CommentA comment added by management on the action's progress or outcome.
FrequencyHow often the action recurs, for recurring actions.
Linked toThe record(s) this action is linked to, such as the risk, incident, or hazard it was raised from.
Business ObjectivesThe organisational objective(s) that this action relates to or supports.
Audit Report StateThe state of the audit report this action was raised from, where the action originated from an audit.

Dates & Scheduling

FieldWhat it's for
Due DateThe date the action is due to be completed.
Original Due DateThe due date originally set, before any extension.
Assigned AtThe date and time the action was assigned.
Closed atThe date and time the action was closed.

Record & System Fields

FieldWhat it's for
TypeThe record type classification, distinguishing this custom type (Action) within its module.
ID #The unique identifier number automatically assigned to the record.
TitleThe short name or title given to the action.
StatusThe record's current position in its workflow, for example Draft, Open, or Closed.
RegisterThe register the action belongs to.
LocationThe physical or organisational location the action relates to.
ProgressThe progress made towards completing the action, for example a percentage or stage.
PriorityThe priority level assigned to the action.
Created atThe date and time the record was first created.
Updated atThe date and time the record was last updated.
Created byThe user who created the record.
UUIDA unique identifier automatically generated for the record, in addition to the sequential ID #.
