Why isn't a record showing up on my dashboard?

There are a few common reasons a record might not appear on your dashboard.

More detailed information about user access can be found in the articles about security groups and permission sets.

Case 1: You don’t have access to the record

How to check:

  • If you know part of the record’s title or ID, use the global search bar (top right).
  • If the record appears in search, you have access.
  • If it does not appear, you do not have access.

Case 2: The widget may be filtered to exclude the record

For example, the widget may only display Open Actions, but the record you’re looking for is Closed.

  • Fix: If you are a system administrator or the creator of the widget, click the three dots on the widget and review the filters that have been applied.

Case 3: The dashboard may be filtered to exclude the record

For example, the dashboard may only show actions where you are the owner, but the record belongs to someone else.

  • Fix: If you are a system administrator, creator of the dashboard, or have been given access, click the pencil icon next to the dashboard name and review the filters that have been applied.

What if I can see the filter name but it’s still not clear

If the filter names or titles aren’t clear, a system administrator can go to:

  • Admin > Filters > Search for the filter and see the exact conditions being applied.
