Context
When viewing data through widgets (sometimes referred to as charts or dashboards), you may wish to narrow down the displayed information by applying filters. Filters allow you to focus on specific data points, for example, by Status, Owner, or Register - without affecting the data for other users.
Widgets can have default filters (configured by your System Administrator or peers), or you can create and save your own custom filters for personal or shared use.
Important Notes
- Saved filters remain available under your Favourites, even after you clear them from view.
- Shared filters are visible to all users who can access the widget or dashboard.
- Default filters applied by your System Administrator cannot be modified but can be supplemented by your own.
- Applying filters customises your own view, it does not affect what other users see unless imported as reports and shared.
How can I apply my own filters in a widget?
You can apply your own filters using the Filter icon available on each widget.
If shared filters exist, you can select one from the list. Otherwise, you can create a new filter and save it as your favourite for later use.
- Click the Filter icon
On the widget (e.g., Obligation Status by Register), click the Filter icon in the top-right corner.
This opens the filter configuration window.
- Check for existing filters
You may see a message such as:
“The data for this widget has been filtered by default. Please contact your system administrator.”
This means a filter was applied when the widget was configured. For example, this widget may only display obligations that have been assigned a status:
Any shared filters will appear under the cog icon. Click the star icon next to a filter to mark it as a favourite, and it will then appear under Favourites. You can apply one by simply selecting it.
- Create your own filter
- In the Select a field dropdown, start typing the field name (e.g., Status or Compliance Status).
- Select the field you want to filter by

- Define filter conditions
- Choose an operator such as:
is equal to, is not equal to, is any of, or is none of. - Then select one or more values.
For example:
Status → is equal to → Review Required
- Choose an operator such as:
- Save the filter as a favourite
- Click the Save filter icon (?)
- In the Title field, enter a descriptive name (e.g., review required).
- Optional) Tick Share with all users to make the filter available to others.
- Click Save, then Close.

- View the filtered data
The widget will automatically refresh and display results based on your selected filter (e.g., only showing obligations marked Review Required). - Clear the filter
- To restore the original unfiltered view, click the Filter icon again.
- Then click the Clear filter ? button
- The filter will be removed from the display, but it will not be deleted.
It remains saved under Favourites for future use whenever needed.
