What is the difference between Schemas and Custom Forms?

Modified on Fri, 19 Dec, 2025 at 2:27 PM

Custom forms allow you to add data to a record in a module, just like schemas. However, they don’t have the pop-up view that schemas do. Custom forms are mainly used when you need to capture different sets of data for a module (or custom type).

For example, if some fields should only be accessible to selected users, a custom form can be used to capture 'Review Date' updates only on the custom form and not on the schema. This form is only accessible to selected users or roles, while other users can still use the Manage > Edit functionality but cant access the 'Review Date' custom form.

Custom forms are straightforward and allow you to set user and team-specific restrictions. Please refer to the Admin > Custom Forms article.
