Who can view the versions of a record?

Who sees a record's change history by default, and how that can be narrowed


The short answer

By default, anyone with read access to a record can also read its versions. There is no separate permission to grant, and it is not limited to administrators. If you can open the record, you can see what has changed on it.

Versions show the changes made to a record. Each one keeps the previous and the current value of a field, along with who made the change and when.


Narrowing who can see them

The default can be changed, one module at a time. Access is restricted by team, so that only the teams you name can view version history. Administrators keep access either way. Leaving the setting blank means every team can see the history, which is the default behaviour.

This is not a self-service setting. It is handled per module and only Clew can configure it, so it is not something you will find in Admin. Contact Clew with the module and the teams that should keep access.

If you cannot see a record's versions

  1. Check you can open the record itself. Without read access to the record there is nothing to show.
  2. Ask a colleague on a different team whether they can see it. If they can and you cannot, the module has been restricted by team.
  3. Speak to a system administrator in your organisation, who can raise it with Clew if the restriction needs changing.
